Give your AI business brain one home that every project and every AI can use

A photographer on a shoot in a bakery checks their phone while, at the same moment, their partner works on a laptop back at the studio

You spent a few weekends writing down how your business works. You covered who you serve, what you sell and for how much, how you sound, and how a new client gets onboarded. Then you loaded those documents into a Claude or ChatGPT project and gave the whole thing a name, like your Business OS, your AI business brain, or your second brain.

The idea behind it is sound. Your AI is only as good as what it knows about your business. You stopped re-explaining yourself in every chat, and your AI started drafting in your voice and quoting your real prices. If your chats are the apps, your business brain is the operating system they run on. For a few weeks, it felt like you had hired someone who had read every memo.

Then the business kept moving, and the documents did not keep up.

Where a business brain built from files starts to slip

Have you seen the "project knowledge exceeds maximum" error?

Claude shows it when your project knowledge holds more than a project can take, and ChatGPT project files have their own cap. Long before you hit either one, your AI may start missing details you know you gave it.

Old documents keep talking. You retired a package in the spring, and your AI kept offering it to new leads because the old pricing was still in the project.

Every project needs its own copy. Your sales project and your content project both need your offers, so each holds its own copy, and a price change in one gets missed in the other.

Your business brain is stuck in one AI. Everything you built in Claude does nothing for you in ChatGPT. If you use both, you keep two business brains.

Sharing stops at the edge of one tool. Claude and ChatGPT each let you share a project with people who use the same tool, and that works well. But if you use Claude and your partner uses ChatGPT, the best you can do is send them the documents, and their copy is out of date by Friday.

All of these come from the same place. A business is not a set of documents. It is people, offers, clients, and bookings that change every week, so a business brain made of documents has to be copied and corrected wherever you use it. A shared document cuts down the copies, but you still keep it current by hand, and it still stops at the edge of one AI.

Keep your OS, and give your AI one business brain to work from

You keep your OS, and you keep your projects. What changes is where the business brain lives. Your AI stores the facts in an Orbismo world, one place that every project in Claude or ChatGPT can draw on.

Picture a brand photography studio. You run it and do most of the shooting, and your partner Maya edits and writes the proposals.

You change a price once. Between shoots, you raise the half-day brand shoot from $1,500 to $1,800 and mention it to your AI in your sales project. The next week, the newsletter you draft in your content project quotes $1,800, because your AI checks your Orbismo world for the current price.

You learn something about your own business. One evening you ask your AI which clients came through a referral and booked more than once. It answers from your clients, bookings, and referrals together. Two of your best repeat clients, the Hollis & Pine bakery and Northside Yoga, both came to you through Dana, who runs the co-working space downstairs. You take Dana to lunch.

You can see what your AI is working from. Open your Orbismo world in a browser to see what your AI has saved: your offers and current prices, your clients, and who referred whom. If something is wrong, tell your AI and it fixes it.

Can Claude and ChatGPT use the same business brain?

They can, once your Orbismo world is connected to both. You are on a shoot at Hollis & Pine, and the owner asks whether you could add a second location to the day. You check from ChatGPT on your phone, and it has the package details you gave Claude on your laptop last week, so you answer before the next setup. It is one business memory across your projects and across both AIs.

Can your team share your business brain?

Within one tool, they can, since Claude and ChatGPT each let you share a project with teammates on some plans. An Orbismo world is shared across AI brands. You work in Claude and Maya works in ChatGPT. Back at the studio, she preps a proposal with the current prices without having to ask you, and you keep shooting. Sharing a world is part of our paid plans.

How to give your business brain one home

  1. Create an Orbismo world. During setup, choose the default starter instructions. Then add Orbismo to the AI you already use. On a company plan, your admin may need to allow Orbismo first.
  2. Talk to your AI before you hand it any documents. Open a new chat and tell your AI to use your Orbismo world, for example "Use my Orbismo world." Then tell it a little about your business and what you want to keep organized, like your offers, clients, referrers, and team. It asks one question at a time and stores what you tell it. When it has the picture, it offers to rewrite your Orbismo world instructions for your business and shows you the full draft first, which is where your voice and ground rules go.
  3. Hand it one document. Start with the one that goes out of date fastest, which for most businesses is pricing, and say "Read this and add what is in it to my world." Your AI stores the facts from it, not the file itself.
  4. Check it. Ask two or three questions you already know the answers to. If your AI ever answers without looking, tell it to check your Orbismo world.
  5. Tidy up as you go. Once something lives in your Orbismo world, you can clear the old copy of it out of your projects, so your AI works from one version.
  6. Point your projects at your Orbismo world. Add one line to each project's instructions, such as "Use my Orbismo world for facts about my business." Leave the rest of your project instructions as they are.

As your business brain grows, ask your AI for a mini app to keep part of it organized, like a bookings mini app that records every shoot the same way. You can also use Building Blocks to shape the kinds of things your Orbismo world keeps, such as offers or bookings.

Keep your OS, and give the facts under it one home. Your first Basic world is free. Create an Orbismo world, connect the AI you already use, and tell it about your business.
